GLOBALG.A.P. status options

There are two different kind of status:

Producer status

This status is linked with the producer or producer group and visible only in the tabs Registration and Deregistration.

Only producers in the status not confirmed and registered can be registered by a Trustee-Masterdata. (Hier Verweis auf producer registration & Transfer)

Only producers in the status registered and CB/PG Accepted can be deregistered by a Trustee-Masterdata. (Hier Verweis auf producer deregistration)

Producer status is specified as not confirmed or registered, which can only be set by the Trustee-Masterdata and CB/PG Accepted or cancelled, which are linked with the decision of the CB-Committee. The following chart highlights the status flow of the producer status options.

As you see in the figure above the Trustee-Masterdata is mainly working on registration and deregistration of producers. Only the Certification Body is allowed to change the product status to accepted, which is the trigger of the registration fee. As soon as the first product is accepted or reaccepted, the registration fee must be collected by the Trustee. Certification Bodies normally do have both roles: Trustee-Masterdata and CB-Committee.


Not confirmed

Producer status not confirmed is set only by the online notification of companies in the database. In this case the producer is linked with the Trustee via RF-Key, but the Trustee-Masterdata still has to confirm this link. As soon as the Trustee-Masterdata registers the GGN online in the Registration tab, the producer status will be set to registered. This is the precondition in order to continue the certification process.

Registered

The producer status “Registered” is the confirmed notification of a producer or producer group in the database. This status is set by the Trustee-Masterdata as described above, whom the registration fee will be invoiced by FoodPLUS after the product acceptance.


If the producer or producer group do not start (or continue) with certification (for any reason), the GGN stays registered. The Trustee-Masterdata can deregister the GGN in order to set the GGN to annulled. However, any other Trustee-Masterdata can register the producer or producer group in the database with its own organization.


Annulled

If the GGN of a producer or producer group is annulled, there is no link with the Trustee anymore. This company GGN can be registered by every Trustee.


CB/PG Accepted

The producer status CB/PG Accepted is automatically set upon first product acceptance by a certification body and triggers a product cycle. If the product of this producer is not reaccepted and the product cycle has run out, the producer status changes to registered.

Product status

This status is linked with the product. This means that different product statuses for a producer or a producer group are possible (e. g. apples certified and pears accepted, but not yet certified). The products may also be certified with different Certification Bodies or for different options (e. g. apples as option 2 and pears as option 1).

New or additional products are entered in the status not confirmed. If further actions do not follow, the product status remains “not confirmed“ until the certification body accepts the product or sets product to status annulled by deleting the product.

Has the first product been accepted, the product status changes to accepted. The product cycle starts on the date of acceptance and is valid for 12 months. If the certification is done on the last day of this product cycle, it can be extended up to a maximum of 24 months. The product cycle will be 24 months minus 1 day long.

Acceptance or reacceptance of the first product triggers a product cycle and registration fee. Registration fee is colleceted by the Trustee, whom the producer/producer group is working with. If the product was not reaccepted, the product status is set to “not confirmed”. According to the General Regulations version 4 the reacceptance is possible earliest 4 months after certificate cycle started. If products are added later or information is updated during the current product cycle, the change does trigger an update of the invoice in every case.

The product status certified is set upon product certification and triggers the certificate cycle, which lasts one year. The new certificate cycle is linked with a GLOBALG.A.P. certificate number per product, which is generated by the database.

Please, note: During the validity of the certificate cycle neither the Certification Body, producer group nor the scheme can be changed.

This status is only relevant for the GRASP add-on. For the social practice audit there is no certification, but an assessment. Producer and/or producer groups can be assessed, accordingly the "product" GRASP has the status assessed. (For more information, please, read the GRASP Manual No. 27.)


Open non-conformance Onc.jpg


The status open non-conformance can be set, when a producer or producer group does not comply with the GLOBALG.A.P. Control Points and Compliance Criterias in an initial certification process. An open non-conformance can only be set manually by the Certification Body. For lifting the open non-conformance the customer support needs to be contacted for setting the previous status in an active cycle - or to not confirmed if the cycle has already expired.


Self-declared suspension Sds.jpg

A producer or producer group can ask for a voluntary suspension of a product, if it is not compliant with certain GLOBALG.A.P. requirements (see latest General Regulations). This status can only be set manually by the Certification Body. For lifting the self-declared suspension the customer support needs to be contacted for setting the previous status in an active cycle - or to not confirmed if the cycle has already expired.

A suspension of the product certificate is issued, when a producer or producer group does not present evidence of corrective actions that close out a non-conformance after a Warning has been issued. The Certification Body must set the respective products to the status suspended. The Certification Body is able to lift this status in the database.


Annulled

The status annulled is set, if a product suspension has not been lifted or a not confirmed product has been deleted. The product status annulled changes as soon as the product is added again in Manage Products.
